Tasks

The workbench that is created on Insightloupe is referred to as tasks. All the tasks that are created or assigned to you are visible on the tasks module and tasks are divided into 3 different tabs:

  • My Analysis Tasks: Contains all the data collection and data enrichment tasks that have been assigned to you.
  • My Review Tasks: Contains the data enrichment task to which you have been assigned as a reviewer.
  • Other Tasks: Contains all the tasks that have been created and assigned to other users on the project to which you have access.

Access to Tasks Module

The Tasks module can be accessed from the Hamburger Menu by clicking on the Tasks module.

Preview Tasks Module

There are two types of tasks that users can create on Insightloupe:

  • Data Collection Task: The Data collection task is where the assigned analyst uploads the document.
  • Data Enrichment Task: This is where the uploaded document from the data collection task is analyzed by the assigned analyst. Analysis may include relevancy assessment, technology tagging, and legal risk flagging.

The users can create these tasks from the Workflows module and the Alerts module.

Data Collection Task

After the successful creation of the workflow, the data collection task is assigned to the analyst in his Tasks module. Follow the steps below to complete the data collection task:

  1. In the tasks module, click on the Data Collection Task under the task name on which you want to upload documents.
  2. Upload the Excel file that you want to upload.
  3. Enter the dataset name, data source, query type, and complete query for the upload.
    • Dataset Name can be any name given to that particular document upload.
    • Data Source can be the source from where the documents have been fetched.
    • Complete Query can consist of the query that is used to fetch the documents on the selected data source(e.g.: Orbit, Derwent, etc.)
  4. Click on the Submit button to upload the documents.

Data Enrichment Task

Only users who are assigned as an analyst in the data enrichment task in the workflow will see this data enrichment task in the Tasks module and will receive an email notification when the documents are assigned to them. Following are the different options in subtask and document analysis based on the allocation method in which the Data enrichment task can be configured:

Document Analysis

In the Data Enrichment Task the assigned analyst can analyze the document based on the allocation criteria. For allocation criteria such as Documents are Allocated in Chunks, Documents are Allocated at the Start of Task, and Documents are Allocated based on Custom Criteria the assigned analyst can follow the below steps to perform the analysis:

  1. In the tasks module, click on Data Enrichment under the task name on which you want to perform an assessment.
  2. Perform the required analysis (such as relevant assessment, technology tagging, and legal risk flagging) which is assigned to the analyst.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as relevant or not relevant for the project.
  3. After marking the documents, click on Mark as Done for the final confirmation.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as Mark as Done.
  4. Click on the Submit button to complete the task.

If the Data Enrichment task allows the analyst to allocate the documents to themselves then the assigned analyst can follow the below provided steps to perform the analysis:

  1. In the tasks module, click on Data Enrichment under the task name on which you want to perform the analysis.
  2. In the Data Enrichment view is divided into 3 tabs:
    • Assigned to Me- Will have the document that is assigned by me to myself.
    • Assigned to Others- Have documents that are assigned by another analyst to themselves.
    • Not Assigned- Have documents that are not assigned to any assigned analyst.
  3. In the Not Assigned tab select the documents and click on the Assign to Me button to assign the documents.
    • Using the Assign selected to me option under Bulk Actions, users can assign multiple documents to themselves.
  4. Click on the Assigned to Me tab and perform the analysis on the assigned documents.
  5. Click on the Submit button to complete the task.

Review a Task

While setting up the workflows, you can also assign a reviewer to review the analysis done by the assigned analyst where the reviewer can Accept or Reject the documents submitted by the assigned analyst in the workflow. Follow the steps below to complete the workflow when the reviewer is assigned:

  1. In the tasks module, click on the Data Enrichment Task under the task name on which you want to perform the analysis.
  2. Perform the subtask on all the documents that are assigned and click on the Submit button.
  3. Now the assigned analyst will receive an email notification for assigning of Data Enrichment Task.
  4. Now the reviewer can go on his task module and click on the My Review Task tab.
  5. Click on Data Enrichment under the task name on which you want to perform the review analysis.
    • The assigned reviewer will only receive the data enrichment task when the assigned analyst has performed the analysis on the documents and submitted the task.
  6. Using the Accept and Rejected buttons in the middle pane the reviewer can mark the documents.
    • Using the Enrichment filters such as Review Status, Analyst, etc in the left pane, the reviewer can filter out documents based on the analyst or the current status of the documents.
    • The Assigned reviewer can also perform the analysis of the documents. The changes made by the reviewer will be final and will be visible to all users once the task is submitted.
  7. Click on the Submit button to complete the task.

Different Subtask in Data Enrichment Task

During the data enrichment task, the assigned analyst can perform 3 types of tasks on the documents that are uploaded during the data collection task:

  • Relevance Assessment
  • Technology Tagging
  • Legal Risk Flagging

Relevance Assessment

This option allows the assigned analyst to mark the uploaded patent document from the data collection task as relevant or not relevant for the project. Follow the steps below to perform a relevancy assessment:

  1. In the tasks module, click on Data Enrichment under the task name on which you want to perform a relevancy assessment.
    • The document will be allocated based on the option selected by the workflow manager during the workflow creation.
  2. Using the Relevant and Not Relevant radio buttons in the middle pane, the analyst can mark the documents.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as relevant or not relevant for the project.
  3. After marking the documents, click on Mark as Done for the final confirmation.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as Mark as Done.
  4. Click on the Submit button to complete the task.

Technology Tagging

This option allows the assigned analyst to tag documents, and add attachments, comments, and details to extra/chartable extra fields. Follow the steps below to perform technology tagging:

  1. In the tasks module, click on Data Enrichment under the task name on which you want to perform analysis.
    • The document will be allocated based on the option selected by the workflow manager during the workflow creation.
  2. In the data enrichment view, the assigned analyst can perform various analysis such as tagging tags, and adding extra/chartable extra fields, comments, attachments, etc. to the assigned documents.
  3. After marking the documents, click on Mark as Done for the final confirmation.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as Mark as Done.
  4. Click on the Submit button to complete the task.

This option allows the assigned analyst to mark the uploaded patent document from the data collection task as risky/not risky or Important/Not Important for opposition monitoring. Follow the steps below to perform legal risk flagging:

  1. In the tasks module, click on Data Enrichment under the task name on which you want to perform analysis.
    • The document will be allocated based on the option selected by the workflow manager during the workflow creation.
  2. Using the Risk and No Risk radio buttons in the middle pane, the analyst can flag the documents.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as risky or not risky for the project.
  3. After marking the documents, click on Mark as Done for the final confirmation.
    • Using the Bulk Marking option under Bulk Actions, users can mark multiple documents as Mark as Done.
  4. Click on the Submit button to complete the task.

Bulk Actions

While performing the analysis on the documents in the data enrichment task there are various other options under the Bulk Actions dropdown that the assigned analyst can perform on the documents such as share, export, and reassign documents.

Reassign Documents

Follow the steps provided below to reassign selected documents:

  1. In the list tab, select the documents using the checkbox on the document cards.
  2. Click on the Bulk Actions dropdown and click on Reassign Selected from the dropdown.
    • Using the Reassign button in the middle pane, users can reassign individual documents.
  3. From the pop-up, select the analyst from the dropdown to whom you want to reassign the documents.
    • The dropdown will only have the analysts that are added to the Data Enrichment task during workflow creation.
  4. Click on the Assign button to assign the documents.

Search Patent within Tasks

Users could be assigned multiple tasks and the same particular patent number may be present in multiple tasks. This feature allows searching for a specific patent document across all the tasks. By clicking the task name from the result, they can go straight to the patent document within a particular task. Follow the steps provided below to search patents within task:

  1. In the Tasks module, click on the Search Patents within Tasks button.
  2. In the pop-up, enter the patent number that you want to search for across all tasks.
  3. Search results will display the project name with the task name.
  4. By clicking on the task name will take the user to the task with the specified patent number.
