Document Repository on Insightloupe

For most of our analytics projects, we assist clients in conducting research related to one or more of their products or workstreams. In many cases, there are multiple projects corresponding to the same product/workstream. There can be some overlapping data across these multiple projects, and their insights might interest the client. For example:

  • Identification and search for critical documents that are common across multiple projects.
    • View comments on critical documents
    • Understand critical technology themes through coverage of critical documents
  • Identification of potential collaborators or merger opportunities through determination of common startups, universities, etc. across multiple projects.
  • Determination of focus areas and reverse engineering of competitor strategy by combining insights from multiple projects.
    • Technical focus of competitors
    • Target geographies for new customers
    • ROI of competitors’ investment strategy

Therefore, the Document Repository on Insightloupe provides users with a collection of documents across all the projects of a particular client in one place. This allow the users to view all the document across multiple project which allow users to identify any critical document or identify any particular insights.

Enable the Document Repository

Follow the steps provided below to enable the client repository:

  1. Click on the Clients option under the Administration module in the navigation menu.
  2. On the Client page, click on the Create Repository button under the Repository section to create a document repository for all the projects of that client.
    • The default name given to the repository will be [Client Name]- Repository.

Access Document Repository

Users can access the documents repository(once enabled) from the landing page of Insightloupe. The repository card on the landing page will display the name of the repository, start date, last updated date, project count, and document count with a link to the Documents module. All the users having access to the client (on which the repository has been enabled) will have viewer access to the repository automatically.

Clicking on the repository card will redirect the users to the Documents module of the repository.

Documents Module in Repository

The Document module view in the repository will be similar to the Documents module view in the regular project. The Expert view is the default view on the Documents module for both Evaluserve users and Non Evalueserve users.

The Expert view of the repository is divided into 3 different panes:

  • Left Pane
  • Middle Pane
  • Right Pane

Left Pane

The features present on the left pane such as filters, bookmarks, sort documents, document cards, etc. will be mostly similar to the project’s documents module. For more details, you can refer to the left pane section on the Documents module user manual.

Middle Pane

Everything present on the Middle pane such as the different tab for patent documents, Configure preview, etc will be similar to the project’s documents module. For details, you can refer to the Middle pane section on the Documents module user manual.

Right Pane

The following changes have been made to some of the tabs in the right pane of the Documents module in the repository:

  • View Comments from other Projects
  • Family level Comments
  • Family level Tagging
  • View Tags from other Projects
  • View Chartable Extra fields from other Projects
  • Project list In Other Projects Tab

View Comments from other Project

On the repository, users can view the comments added to the documents in the project to which they have access. Follow the steps provided below to view the comments from other projects:

  1. Click on the Comments tab in the right pane on the Documents module in the repository.
  2. Click on the Show in Other Projects button to view the comments made on a document on the project.
    • If the patent document is present in multiple projects and comments have been added to the document on multiple projects, all comments segregated by projects will be displayed.
    • Using the search bar, users can search for a specific project whose comments on the document they want to view.

Family Level Comments

This feature allow users to add comments on all the family members at once on Insightloupe. This allow users to search for the specific comment on different families on Insightloupe. Follow the steps provided below to add family-level comments:

  1. Click on the Comments tab in the right pane, select the comment type by clicking on the New button dropdown.
    • Only users with Legal review access to the client will be able to access the Legal Comments.
  2. Add your comment in the textarea.
  3. Check the Add as Family Comment checkbox to make this comment added to all the family members available on Inisghtloupe.
  4. Click on the Save icon to save all the changes.
    • Family level Comment will have an indication of Family Level to segregate them from the normal comments on the document in the repository.

::: tip[Note]

  • Editing/Deleting a family level comment on one member of the family, will edit/delete that family comment on all the family members on the repository.
  • The family level comment will automatically be added to any newly added republication or family member identified during the bib update of the project after syncing of the repository. :::

Family Level Tagging

This feature allow users to add tags on all the family members at once on Insightloupe. This allow users to search for the specific tag on different families on Insightloupe. Follow the steps provided below to add family-level tags:

  1. In the right pane of the documents module select the tag type in which you want to apply the tags to the document.
  2. Click on the edit option and select tags that you want to apply by clicking on them.
  3. Click on the Star icon to make this tag added to all the family members available on Inisghtloupe.
  4. Click on the Save icon to save all changes.
    • Family Level Tag will have an Star icon to segregate them from the normal tags on the repository.

  • Editing/Deleting a family level tag on one member of the family, will edit/delete that family tag on all the family members on the repository.
  • The family level tag will automatically be added to any newly added republication or family member identified during the bib update of the project after syncing of the repository. :::

View Tags from other Project

On the repository, users can view the tags added to the documents in the project to which they have access. This helps users understand the analysis performed based on technology tags on documents across all projects of a particular client in the repository. Follow the steps provided below to view the tags from other projects:

  1. Click on the Tags tab in the right pane on the Documents module in the repository.
  2. Click on the Show in Other Projects button to view the tags added on a document on the project.
    • If the patent document is present in multiple projects and tags have been added to the document on multiple projects, the taxonomy will be segregated by projects and be displayed to the users.
    • Using the search bar, users can search for a specific project whose tags on the document they want to view.

View Chartable Extra fields from other Project

On the repository, users can view the chartable extra field added to the documents in the project to which they have access. This helps users understand any additional data added on chartable fields across all projects of a particular client in the repository. Follow the steps provided below to view the chartable data from other projects:

  1. Click on the Extra Chartable fields tab in the right pane on the Documents module in the repository.
  2. Click on the Show in Other Projects button to view the chartable data added on a document on the project.
    • If the patent document is present in multiple projects and chartable data have been added to the document on multiple projects, the chartable data will be segregated by projects and be displayed to the users.
    • Using the search bar, users can search for a specific project whose chartable data on the document they want to view.

Project list In Other Projects Tab

The In Other Projects tab on the documents module in the repository will display the list of project that has the same patent family or patent publication uploaded to it. For the Family view in the document’s module, it will display all the project’s names based on family ID whereas for the Patent Publication view, the project list will be based on the Publication number.

Clicking on the project name will redirect the user to that document in that respective project.

::: tip[Note] Eg: If Patent P1 and P2 belong to the same family but are uploaded on different projects A and B. In the Patent family View in the repository, In other Projects tab will have both A and B project names. Whereas in the Patent publication view of document P1, it will only show Project A, and for P2 it will display Project B only. :::

Everything else on the right pane such as tags, extra/chartable extra, attachments, etc. will be similar to the project’s documents module.

Similarly, all the other features present in the Documents module such as Smart Search, Keyword Highlighter, Saved Searches, etc will work in the same way as they do in the project’s Documents module. Syncing Data on the Document Repository

The Document module in the document repository will not instantly reflect any new patent family or publication that is added, removed, or updated on the client’s projects. To reflect these modifications on the document module of the repository, the document repository will need to be synced. As a result, the repository will automatically sync at 10 PM UTC, at which point all of the changes will be visible.
